PowerPoint 2003 - Creating a Simple Presentation

This tutorial will show you how to create a simple presentation using Microsoft PowerPoint 2003.

Part 1: Task

The tutorial is based on the following task:

You are going to create and edit a presentation for Courtney House International School

The medium for delivery will be a multimedia projector. You will need to produce presenter notes and audience notes with the slides.

Master Slide:

The slide master must have a navy blue background and your name and today’s date in a small black font placed in the bottom left corner. It must also contain the image courtney.gif as a logo placed in the top right corner.

The logo must be resized so that it will not overlay any text or graphics on any slide.

Include the slide number in the bottom right of the footer.

Set the following styles of text throughout the entire presentation:

  • Heading: White, centre aligned, large font (48 point)
  • Subheading: White, left aligned, medium font (32 point)
  • Bulleted list: White, left aligned, small font (18 point). Use a bullet of your choice.

Slide 1

Enter the heading Courtney House

Enter the subheading
Reception Year to A Level … below the heading.

Add the following presenter notes to this slide:
Introduce yourself and your role within the school.

Slide 2

Enter the heading We offer:

Enter the following bulleted list on the left side of the slide.

  • Cambridge University accreditation
  • An excellent British based curriculum for foreign and SA pupils
  • Small classes, maximum 16

Enter the text Second Languages include: below the bulleted list on the left side of the slide as a subheading.

Enter the following bulleted list below the subheading on the left side of the slide.

  • French
  • Spanish
  • Portuguese
  • Afrikaans

Place the image secondlang.jpg so that it fills most of the right half of the slide. Make sure that it does not overlap with or cover anything placed on the master slide.

Add a thin, white, vertical line between the bulleted lists and the image.

Both bulleted lists should have each bullet set to appear one at a time using the same animation effect. No other elements of the slide should be animated.

Add the following presenter notes to this slide: Courtney House is an independent English medium school, which exposes your child to a curriculum that is locally relevant and accredited by the University of Cambridge, one of the premier universities in the world.

Slide 3

Enter the heading At Courtney House we develop:

Place the image skills.jpg so that it fills most of the left half of the slide. Make sure that it does not overlap with or cover anything placed on the master slide.

Enter the following bulleted list on the right side of the slide:

  • Work Ethic
  • Problem Solving
  • Character
  • Individual Targets
  • Collaboration
  • Divergent Thinking
  • Emotional Quotient
  • Self Esteem
  • Multiple Skills

Add a thin, white, vertical line between the bulleted lists and the image.

Add the following presenter notes to this slide:
At the heart of our teaching, lies the determination to provide a framework for the highest possible achievement for your child, as well as developing emotional intelligence.

Entire Presentation

Use the same transitional effect between each slide.

Save the presentation using a new filename. Print the presentation showing all of the presenter notes.

Save the presentation using a new filename. Print the presentation showing three slides to a page with space for the audience to make notes.

Part 2: PowerPoint Screen Layout

When you open PowerPoint the screen layout should look something like this:

Part 3: Master Slide

The master slide is the template on which all new slides in your presentation will be based. Creating a master slide will save time later if you need to make general formatting changes to your entire presentation as you can then simply edit the master slide, as apposed to changing individual slides

Opening the Master View

To open the master view, click on [View], [Master], [Slide Master] as shown below.

You will note that the current slide is replaced with the master slide and the slide master toolbar will be visible.

Adding a Title Master

A title master is the template used for the title slide of the presentation. Formatting changes made to the title master does not effect other slides. This is useful if you want your title slides to look different from your regular slides.

To create a title master, click on the [Insert New Title Master] on the Slide Master View toolbar, as show below.

This will add a second slide master, the Title Master.

Editing the Slide Master

To make the slide master the current slide, click on the slide master in the slide sorter frame.

Ensure that your current slide is the slide master.

Editing the slide is relatively easy. It is simply a case of clicking on the element you wish to edit and selecting the formatting you wish to use.

Changing the Background Colour

Right click on any part of the slide background to open the menu.

Click on [Background...]

Click on the drop down arrow to select the required background colour. If the colour you are looking for is not visible, click on [More Colors...]

For the task, select the dark blue colour in the top left corner. Then click [OK]

Now click on [Apply to All]. This will make both the slide master and title master have a dark blue background. If you want to use a different colour for the slide master then click on [Apply] which will only make the change to the current master.

Adding a custom background picture

Sometimes you may want to use a picture for a background, rather then a colour.

As before, right click on any part of the slide to open the menu. Click on [Background...]. Then click on the dropdown arrow and select [Fill Effects...]

Click on the [Picture] tab.

Click on [Select Picture...]. Direct the browser to the required folder and select the picture you would like to use.

Editing Fonts

The slide master has 5 auto layout text boxes which you can edit.

To edit the font formatting of any of these areas, simply click on the dotted line around the text box. You will notice that the border changes as shown below.

You can now make changes as desired. Click on the relevant icon on the formatting toolbar and select the formatting you require.

For our task we need the following:

  • Heading: White, centre aligned, large font (48 point)

To change the font colour, click on the [Font Color] icon and chose the white tile.

To align the text to centre, click on the [center] icon.

To change the font size, click on the [Font Size] drop down arrow and scroll down until you find the required size. Alternatively you can simply type in the size you need and press [Enter].

Change the font by clicking on the [Font] drop down arrow and selecting the font you like.

Repeat this process to alter the font formatting for the bulleted list.

  • Bulleted list: White, left aligned, small font (18 point). Use a bullet of your choice.
Customizing Bullets

To change the bullets, right click on the bullet text to open the menu. Select [Bullets and Numbering].

You can choose one of the default bullets or click on [Picture...] to select a graphic of your choice, or click on [Customize...] to select an alternate character.

Repeat this process for any level of the bulleted list you would like to change.

Customising Date, Footer and Slide Number

To alter which elements of the Date, Footer and Slide Number will appear, click on [Insert], [Date and Time...]

The following window will open.

Click on the elements you would like to appear on your slide show.

For this tutorial I have removed the Footer element and selected a Fixed Date and Time. In the text box next to Fixed, I have typed in the date. If you would like the date to reflect the day is being viewed, select [Update automatically].

Select [Apply to All].

You can also edit these elements directly on the current slide.

As the task requires that your name appear next to the date, click in the date text box and type in your name.

Editing the Title Master

To make the title master the current slide, click on the tile master in the slide sorter frame.

You will note that many of the changes you have made, have already been applied to the title master. Any changes you now make to the title master will not effect the slide master, unless you select [apply to all].

Editing font formatting

Follow the same steps as outlined in the slide master section to edit the font formatting of the title master.

For our task, the only auto layout we must edit is the subheading.

  • Subheading: White, left aligned, medium font (32 point)

Adding Images

The tasks requires that an image is added to the master.

  • It must also contain the image courtney.GIF as a logo placed in the top right corner.

Click on [Insert], [Picture], [From File...]

Resizing Images

There are two ways of resizing images.

The first method involves placing the mouse pointer on one of the corner white dots so that the default mouse pointer arrow changes to a double sided arrow.

Hold in the left mouse button and drag the picture to the desired size.

The second method requires you to click on the [Format Picture] icon on the Picture toolbar.

Click on the [Size] tab.

Here you can set the exact size of your picture. This is very useful if you know the required size or if you would like all you pictures to be the same size.

For this task I have set the width to 4cm.

Positioning Images

For the task we need to move the picture to the top right hand corner.

Click on the image. You will note that under the default mouse pointer a four sided arrow is visible.

Hold down the left mouse button and move the image to where you would like it placed. Release the mouse button when you have the image in the desired position. This is called "drag and drop".

The image has only been applied to the title master. Click on the image and press [ctrl] [c] to copy the image.

Make the slide master the current slide.

Press [ctrl] [v] to paste the picture on the slide master.

Resizing and Moving Text Boxes

It is possible to resize and position any text box as you please.

Resizing

Click on the dotted border around the text box you want to resize.

Place your mouse pointer on a round dot so that the mouse arrow changes to a double sided arrow. Hold in the left mouse button and drag the mouse until you have the desired size. Release the mouse button when done.

Moving

To move a text box, click on the dotted area so that it becomes a thick border. Click on this border and while holding the mouse button in, move the text box to the required location.

For the task you will need to resize the the title text box so that it does not overlap with the logo.

Your final result should look something like this:

Closing the Master View

Simply click [Close Master View] on the master view toolbar.

Part 4: Title Slide

By default, the first slide layout is the title slide layout

Click on the applicable text box to add a heading and sub heading.

The task requires that you add the following information:

  • Enter the heading Courtney House
  • Enter the subheading
    Reception Year to A Level … below the heading.

Your first slide should look like this:

You can change any element of the title slide. Images can be added, font formatting can be changed and text boxes and be deleted, resized or moved as described above.

Adding Presenter Notes

You need to add the following presenter notes:

  • Introduce yourself and your role within the school.

Click on the presenter notes bar, below the current slide and type in the required text.

Part 5: Adding a New Slide

Right click on the slide sorter pane and select [New Slide]

Changing the Slide Layout

On the task pane, click on the drop down arrow next to [Search Results] and select [Slide Layout].

PowerPoint offers a variety of different layouts. Click on the layout that is closest to what you need.

The task requires the following that we have text on the left hand side and a picture on the right hand side.

You will note that your current slide changes to include a title text box, bulleted list text box and a picture box, as shown below:

Add the title:

Then add the first three bullets:

Resize the bulleted text box so that text fits snugly.

Adding Additional Text Boxes

The task requires that you need to add the text Second Languages include: below the bulleted list on the left side of the slide as a subheading.

The auto layout do not include a sub heading but this is easy to add. There are two methods you can use.

The first option is to add an additional text box.

Click the text box icon on the drawing toolbar.

Now drag your mouse across the area where you want the text box appears.

You can then type in the text you would like to appear. Once you have typed in the text, click outside the box to set the text. You will need to format the text as described earlier.

The second method is the one I prefer as you will not need to format the text when you are complete.

Simply click on the title slide, then click on the sub heading text box so that the thick border shows. Press [Ctrl] [c] to copy the text box. Click on the slide show you are editing, and then press [ctrl] [v] to paste the text box. Now position the text box where you would like it. Next click on the text to edit the text. When you are done, you can resize the box.

Now you need to add the second bulleted list.

  • French
  • Spanish
  • Portuguese
  • Afrikaans

Again you can simply add a new text box or copy and paste the first text box.

Adding Pictures

You can follow the same method as described earlier or you can simply click on the [Insert Picture] icon.

Adding Lines

To add a line start by clicking on the [Line] icon on the drawing toolbar.

Then click on the area where you want the line to appear and drag your mouse in the direction you want the line to lie.

You can resize the line by clicking on the white dot and dragging the line in the direction you want to increase the line.

To change the line colour, first ensure that the line is selected, then click the [Line Color] icon on the drawing toolbar and select the desired colour.

You can also change the line width by clicking the [Line Style] icon on the drawing toolbar and select the desired width.

The task requires that you add an a thin white line between the bulleted lists and picture.

Part 6: Adding Custom Animations

The task requires that each bullet set to appear one at a time using the same animation effect

Highlight the first bullet text, then right click to open the menu.

Select [Custom Animation...]

The task pane will now show the Custom Animation settings.

Make sure the first bulleted text is still highlighted.

Click [Add Effect] and choose suitable animation.

Modify Effects

There are a number of ways you can modify the effects.

Repeat this process for each bullet.

Part 7: Slide Transitions

The task requires that you use the same transitional effect between each slide

Click the drop down arrow on the task pane and select [Slide Transition].

Choose a transition, alter the speed, choose how the slide must advance and then click [Apply to All Slides].

Part 8: View Presentation

To view the presentation click [Slide Show], [View Show]

Part 9: Printing Options

PowerPoint offers four different types of printing options

Click [File], [Print...]

The following window will open:

Click on the drop down menu below [Print what:] to select a print option.

Slides: Prints an image of each slide on each page.

Handouts: Prints up to nine slides on a single page. If you select three slides per page, place is provided on the right hand side for the audience to make notes.

Notes Pages: Prints a slide and the presenter notes on each slide.

Outline View: Prints only the text from each slide in the form of a bulleted list.

Part 10: Save Options

To save your presentation click [File], [Save]

Another useful option is [File], [Package for CD].

The package for CD option is useful if you are going to play the presentation on a computer other than the PC the presentation was created on as it creates a folder with any linked material as well as a PowerPoint viewer.
